1.2.3. Workflows

This is the main page of the Portal web tool because it consists of all active workflows that the logged in user has access granted. 

NOTE: The workflow term refers to a series of sequential tasks that are carried out based on user-defined rules or conditions, to automate the execution of a business process. Workflows are designed in Designer, managed and configured in Administrator and executed in Portal.

The first view after login is by default the Workflows page, but it can be customized to a different page or a specific category. Please visit Administrator → Settings → Default Tenant Landing Page to customize this. A category will be described by its name, icon and description:


If the category has sub-categories, click the category name to view the list of sub-categories:


By clicking over a category or sub-category, another page with all the active workflows will be opened:

Workflow actions:

  • Start Workflow 

In order to start the execution of a workflow, click on the   hyperlink matching the workflow row. The Start Workflow form will be loaded, displaying the input parameters and other fields that can be customized for visibility from Administrator (e.g. Comments field), together with the Close and View Summary buttons:

 

After filling in the input parameters with desired values, click on  hyperlink .

In order to start the execution of the workflow, click on Start Workflow button.  After the workflow execution is started, the user has the possibility to close the Start Workflow window and check the workflow execution in the Inbox page, or to wait until the execution is finished. In this case, the execution details will be displayed in the same Start Workflow window where the workflow was started from.

IMPORTANT: After clicking on Start Workflow button, if no execution agent is available, the workflow will be scheduled as a non-repetitive workflow in Scheduled page until an execution agent is available again. 


If the workflow contains LogTrackData activites, they are displayed in the Info tab from the Start Workflow window. The execution details field will auto refresh by default, but user has the possibility to change it with the Auto Refresh toggle.

If the workflow contains WorkflowStep activites, the Input string of each WorkflowStep activity is displayed in the Workflow tab from the Start Workflow window.

In order to view the input parameters of a workflow, click on the  hyperlink matching the workflow row. The Info form will open, displaying the input parameters:
