The Security → Approval Roles (deprecated) page can be reached by clicking the menu item.
Certain users from both Admins and Users groups can be assigned to a role, deciding whether the execution of a workflow should continue or not (the role is mapped to the Approval activity parameter in the workflow design stage).
Add new approval role window should be displayed.
In order to define a new role the user has to follow the next steps:
- Type in a name for the new role.
- Type in a description for the new role (this action is optional).
- Assign at least one user or group to the new role, by checking them from the list.
- In order to finish creating the new category click the Save changes button.
After creating the role, the type of approval can be configured:
- Approve by all in role: if checked, approval requests are sent to all assigned users and all users must approve in order to continue the execution of the workflow.
- Sequential approval: if checked, users assigned to the approval role will approve the workflow in an established order, as it follows:
- There should be configured the number of waiting days until when the next user should approve a workflow
- There should be configured the order of the users which will approve the workflow (use drag and drop to change the order of the users/groups assigned)
How does the sequential approval work?
- When a workflow is submitted for an approval, only the first user will see the workflow as pending in Inbox and will also receive an email. If the first user does not approve the workflow in the given amount of days (the delay value), then the approval request will pass to the second user. The first user will not be allowed to vote anymore. When one of the users approves/denies the workflow, the approval process is completed and the workflow execution will continue/terminate depending if the approval request was approved or denied. If none of the users are voting, the workflow will step into Expired state.
- No check: the approval requests are sent to all assigned users. The first vote is taken into consideration to complete the approval process. E.g. if one of the users is voting with Yes for approval, the workflow execution will continue.
In order to edit a role's Assigned groups and users, click on the Edit button to open Edit rights window. Check the desired users/groups to be assigned to the role and click the Save button.
To remove a role from the list, select it and click the Remove Role button. A pop-up window will appear asking the user to confirm the deletion.
